Frequently Asked Questions

Please reach us at info@experientialsystems.com if you cannot find an answer to your question.

A structural inspection evaluates the physical safety and hardware of your course. An operational review is a much deeper audit of your program's management and safety culture. It involves a detailed review of your documentation to ensure standard compliance, plus a 1-to-2-day on-site observation of your active program to verify staff competency.

Industry standards require that challenge courses, zip lines, and aerial adventure parks undergo a comprehensive operational review by a qualified third party at least once every five years. However, many high-volume facilities opt for more frequent reviews to maintain a proactive risk management culture and continually refine their operations.

A gap assessment compares your current operational practices and documentation against current industry safety standards (like ACCT, PRCA, or CWA). During our review, we identify any "gaps" or deficiencies in your written policies, participant screening, or staff training, providing you with a clear roadmap to achieve full compliance and minimize legal liability.

ESI conducts a rigorous audit of your essential paperwork. This includes your Local Operating Procedures (LOPs), Policy and Procedures Manual, Risk Management Plan, Emergency Action Plans (EAPs), daily pre-use logs, equipment maintenance/retirement logs, and staff training records.

Yes. A critical component of an operational review is the physical, on-site observation of your program in active operation for 1 to 2 days. We evaluate how well your facilitators adhere to your written LOPs, manage participant safety, and execute belay or spotting techniques in real-world scenarios.

Absolutely. We thoroughly audit your Emergency Action Plan to ensure it meets current industry benchmarks. We verify that your plan covers specific incident responses, high-angle rescues, and weather emergencies, and we check that your staff actively understands and practices these documented drills.

Yes. We review your administrative procedures, including how you handle participant health screenings, age/weight requirements, and liability waivers. Proper administrative screening is a foundational element of risk management and is heavily scrutinized to ensure you are adequately protecting your organization from the moment a guest arrives.

Yes. Proper equipment lifecycle management is a major compliance requirement. We review your equipment use logs, periodic inspection logs, and retirement records to verify that life-safety gear is being tracked, inspected, and removed from service according to manufacturer specifications and industry standards.

Both ACCT and PRCA mandate strict operational protocols. ACCT outlines prescriptive operational and management competencies, while PRCA emphasizes the operational performance of a "Qualified Person" managing the site. Our review ensures your policies meet or exceed these ANSI-accredited industry benchmarks.

In the event of an incident, your documentation and adherence to industry standards become your primary legal defense. An operational review ensures your policies are airtight and your staff is actually following them, demonstrating professional due diligence and significantly mitigating negligence claims.

Frequently, yes. Insurance providers heavily scrutinize risk management practices. Demonstrating that your facility undergoes voluntary, third-party operational reviews by an accredited vendor like ESI proves you maintain a proactive safety culture. This documented commitment to excellence can often be leveraged by your broker to negotiate better insurance rates.

If we identify gaps during our audit, we provide a detailed report outlining the specific deficiencies. As your safety partner, ESI offers actionable, step-by-step recommendations on how to update your policies, improve staff training, and bring your operations into full compliance without disrupting your business.

Yes. If your operational review reveals that your Local Operating Procedures (LOPs) or Policy Manuals are outdated, ESI offers dedicated risk management consulting. We can assist your management team in drafting robust, customized procedures that reflect your actual operations and meet current legal and industry standards.

The physical, on-site portion of an operational review typically spans 1 to 2 days. This allows our reviewers ample time to observe multiple staff members, watch different program elements in action, and conduct thorough interviews with your course management team without disrupting your daily throughput.

To prepare, you must have all required documentation organized and readily available, including your Policy and Procedures Manual, Risk Management Plan, EAPs, equipment logs, and staff training records. We also require that your course is actively running with typical participant groups so we can observe real-world facilitation.
